VIDEOCONFERENCE TIPS
Meeting
participants should arrive approximately fifteen minutes
before the start of the meeting for a brief overview of
the equipment. Early arrival will allow time to set up and
test any peripherals you may plan to use prior to the conference,
i.e. scan converter or DVD recorder.
Upon
connection, introduce yourself and all others present in
the room, even those off camera. Speak and act naturally
and maintain eye contact with the person on screen. Try
to avoid movement that distracts and draws attention to
itself on a screen such as rocking or swiveling in a chair.
The
audio system is very sensitive to extraneous noise so avoid
rustling papers or tapping objects. Speak in a normal tone
of voice. Rule of thumb is to always assume someone else
is in the room. Even if you don't see them on the monitor,
it doesn't mean they are not there. Use of the mic mute
function will ensure that the far site does not hear your
pre-conference or side comments if it is not your intention
to be heard.
Always
inform the far site when you are turning your microphone
off or when you are taking control of their far end camera
as a courtesy.
To
project the best visual image:
DO wear colored or pastel shirts or blouses
DO NOT wear busy patterns, especially ties
DO NOT wear stark white shirts or completely red blouse
